The Solution

Each morning, thousands of paper invoices are scanned in the mail room. Still more arrive through EDI gateways in the form of electronic billing.

These invoices are routed automatically to desktop PCs, where users review and data enter them.

Using built-in functionality, they can split or combine invoices; relate them to one another; perform complex searches; or create and view supporting notes, letters, e-mails, and faxes.

Without any human intervention, payments are prioritized by terms; late fees, discounts, and taxes are calculated; and data are validated using rules that can be dynamically reconfigured as needs or circumstances change.

Problem invoices are automatically tagged and routed to exception handlers for online resolution.

Finally, invoices are matched to supporting documentation in legacy systems and paid.

At any point in the process, management can remotely request the status of a given invoice, view comprehensive metrics, or generate custom reports.

The Bottom Line

By its own measure, the company saves almost $10 million annually with help from System 18:
